Getting set up
How do I add my tours?
Go to Settings, then Tours, and add each trip you sell with its name, duration, seat capacity, price and deposit; the tour catalog is the spine of FleetDesk, dispatch software for tour operators, so every booking, quote and dispatch lane afterwards carries the name you typed here.
Your tours are yours. They are not a list of templates we supply, and a booking says the name you gave it rather than a generic slot your own staff have to translate.
What each tour holds
- Name and description. What a customer sees on a quote.
- Duration and capacity. Capacity is the number of seats sold on a shared departure of this tour. Leave it blank and the vehicle's own seat count is used.
- Price, and whether it is per person. The per-person switch is a quoting hint. A booking still stores one agreed total either way, which is what a private group actually negotiates.
- Deposit. The amount you ask for to hold the date. It appears on the quote and it drives the balance reminder later.
- Default pickup. Prefilled onto a new booking for this tour, so the address you type most is typed once.
- A colour. Used on the calendar and the dispatch board so a glance at a Saturday tells you which trips are running.
The day it usually runs to
A tour can carry a default itinerary, one stop per line. It is a template: the stops are copied onto a booking when the booking is taken, so editing the tour later never rewrites the day a customer already agreed to.
Retiring a tour
Archive it. Tours are archived rather than deleted, so a trip you sold two seasons ago still says what it was and what it cost, and an archived tour stops appearing when you take a new booking. Make it bookable again at any time.
