Quotes and deposits

What do the booking statuses mean?

There are six in FleetDesk, dispatch software for tour operators: Enquiry, Quoted, Confirmed, Completed, Cancelled and No-show, and whether somebody has paid is tracked separately, because a confirmed trip can be unpaid and a completed one can still owe you money.


The six

  • Enquiry. Somebody asked. There may be no date, no tour and no price yet.
  • Quoted. A price has gone out and you are waiting on them.
  • Confirmed. It is happening. It counts as revenue and it belongs on the board.
  • Completed. The trip ran.
  • Cancelled. It is not running, and it takes a reason.
  • No-show. They did not turn up. It is not the same as cancelled: the deposit is kept and the balance is not owed. It takes a reason too.

Why payment is a separate axis

Status says where the work is. Deposit paid and balance paid say where the money is. Folding the two together is how an operator ends up chasing somebody who already paid, or running a trip nobody has paid for.

Nothing is enforced

The next obvious status is offered first, but you can jump straight from Enquiry to Confirmed when a regular texts you and you both know it is happening. Operators skip steps, and software that refuses is wrong more often than they are.

What counts as revenue

Confirmed and Completed. A price nobody has agreed to is not revenue, so quoted work is totalled separately as pipeline on the Money screen.
