What do I do when a trip is cancelled or nobody turns up?

Change the booking status to Cancelled or No-show and give the reason: in FleetDesk, dispatch software for tour operators, the two are not the same thing, because a no-show means you keep the deposit and the balance is not owed.


Six weeks later the only question anybody asks about a dead booking is why it did not run, which is why the reason is asked for at the time rather than left to memory.

What happens to the day

A cancelled trip comes off your revenue and stops counting against the vehicle’s seats, so the run it was on has its capacity back immediately. Nothing is deleted: the booking, its notes and its history stay where they are.

What the customer and driver see

A guest ticket or a run sheet opened after a cancellation says plainly at the top that the trip is cancelled, rather than quietly showing a trip that is not happening. You can also revoke the links outright.

Refunds

Refunds happen wherever you took the money, because nothing here sits in your checkout. In the booking, undo the payment you had marked so the record matches what the customer actually has, and if you keep part of a deposit, adjust the price to what you are keeping so the month’s revenue tells the truth.

Your own cancellation policy

The product does not enforce one and does not compute a fee. Your terms are yours; say them in the "What is included" lines on your quote, where the customer reads them before accepting.
