The money

Does it chase people who still owe me money?

Yes: FleetDesk, dispatch software for tour operators, emails your customer three days before the trip when there is money outstanding, quoting the amount and your own payment instructions, and emails them again the day before to remind them of the pickup.


Chasing deposits and balances is the most-named daily annoyance in this business, and it is the part of the product that quietly pays for itself.

The two customer emails

  • Balance due, three days out, listing what is still to pay and how to pay it.
  • Trip reminder, the day before, with the pickup details, and their ticket link where you have already created one.

Both go out from your own mailbox, under your own name, with your reply-to address, so an answer comes back to you. The product is named nowhere above the footer.

Your own morning summary

You get one email covering today and tomorrow: what is running, what has no driver, and what is unpaid. One message, rather than a buzz per van.

They are sent once

Every send is recorded against the booking, and recorded only when it actually succeeded, so nobody gets the same chase twice and a mail outage retries the next day instead of marking the job quietly done.

The clock they run on

Your organisation’s timezone, not ours. "Tomorrow" means tomorrow where you work, which is why the timezone in Settings is worth getting right on day one.

What has to be set up first

Your outgoing email, in Settings, then Connections. Without it there is nothing to send from.
