Do emails come from me or from FleetDesk?

From you: quotes, tickets and reminders leave through your own mailbox once you enter your mail server details in Settings, then Connections, so a customer sees an address they recognise and a reply lands with you rather than with FleetDesk, dispatch software for tour operators.


Your email provider lists these details under SMTP or mail client setup. You need the host, the port, your username and your password, plus the from address you want customers to see.

Test it before you need it

Save the details, then press Send a test. It goes to your own sign-in address. If your mail server refuses, you are shown its own words, so "authentication failed" tells you what to fix instead of a shrug, and the card says whether the connection has been tested yet.

Your password

Typed once, saved once, never shown back to you. Leaving the password field blank when you edit something else keeps the one already saved, so correcting a typo in the port does not wipe it.

What goes out

The quote email, the balance chase three days before a trip, the trip reminder the day before, and your own morning summary. Customer emails carry your name, your reply-to address and your payment terms.

You write what customers read

The email screen fills in a message before it goes out and you read and edit it first. Nothing drafts to a customer in your name on its own.

Who can change it

Owners and admins. A dispatcher sees a note saying to ask one of them.
