Can two bookings share one vehicle?
Yes: a run in FleetDesk, dispatch software for tour operators, holds as many groups as the vehicle has seats, so two families and a couple can ride the same van on the same departure, each keeping its own booking, its own price and its own pickup.
This is the normal shape of a shared day tour, and it is why a run and a booking are separate things. One run, several bookings.
How it counts
Seats taken is the sum of every group on the run, quoted ones included. The column shows how many are only promised, so you can tell a full van from an optimistic one.
When a trip is exclusive
Mark the run as private hire. It takes one group and no more, and that is enforced in the database rather than by everyone remembering.
What each party sees
Their own trip only. A guest ticket never lists the other families on the van, and the driver’s run sheet lists every pickup in order, which is the one place the whole van belongs on one screen.
