Quotes and deposits

What happens when the customer accepts?

The booking moves from Quoted to Confirmed by itself, the customer sees a page reading "You are booked in" with your own payment instructions on it, and the trip appears on your dispatch board for that date, all without you touching FleetDesk, dispatch software for tour operators.

You do not have to be awake for it. Acceptance is the customer's action and the record keeps up with them.

What they see next

The same page, changed: confirmation that they are booked, the deposit amount if you ask for one, and exactly how to pay it in your words. That is why the payment instructions in Settings, then Company, are worth writing properly once.

What changes in your account

  • Status goes from Quoted to Confirmed. A booking you had already confirmed some other way is left alone rather than being reset.
  • The acceptance is timestamped on the Quote tab and written to the booking's activity log.
  • The trip is now countable work: it shows on Today when its date arrives and sits in the unassigned lane on the board until you give it a vehicle.

If they tap twice

Accepting is safe to repeat. A second tap, a retry on bad hotel wifi, or reopening the link next week all return the same answer instead of booking anything twice.
